Gable Systems Privacy Policy

1. Introduction

Gable Systems ("Gable," "we," "us," or "our") is a product of Waypoint Systems LLC, a Tennessee limited liability company. This Privacy Policy explains how we collect, use, and protect information when you use gablesystems.ai and related services (the "Service"). By using the Service, you agree to this policy.

2. Who We Serve

Gable is a business-to-business (B2B) platform. Our customers are organizations, not individual consumers. The Service is not directed at individuals under the age of 18.

3. Information We Collect

From account holders and administrators:

• Name and email address provided at signup
• Organization name
• Billing information (processed and stored by Stripe — we never store card numbers)
• Documents uploaded to your knowledge base

From invited users:

• Name and email address provided during account activation

Automatically collected:

• Usage analytics collected by Vercel Analytics (page views, performance data, general usage patterns). This data is aggregated and does not identify individual users.
• Standard server logs including IP addresses and browser type

4. How We Use Your Information

• To provide, operate, and maintain the Service
• To process billing and send transactional emails
• To send trial notifications and billing reminders
• To respond to support inquiries
• To monitor and improve Service performance

5. Your Documents and Knowledge Base

Documents you upload are stored securely in our managed database and are used exclusively to power your organization's AI assistant. Your documents are never sold, shared with other customers, or used to train AI models. Our AI providers (Anthropic and Voyage AI) process queries and generate embeddings per their respective API terms — neither provider trains on API data.

6. Data Isolation

Each organization's data is isolated at the database level using row-level security. No other customer or unauthorized user can access your documents, knowledge base, or usage data.

7. Data Retention and Deletion

When an organization cancels its subscription, all associated documents, embeddings, and knowledge base data are permanently and immediately deleted from our systems. This deletion is irreversible. Prior to cancellation, customers may export their data using the export feature in the dashboard.

8. Third-Party Service Providers

We share data with the following providers only as necessary to operate the Service:

• Stripe — payment processing
• Supabase — database and authentication
• Vercel — hosting and analytics
• Resend — transactional email delivery
• Anthropic — AI response generation
• Voyage AI — document embedding

Each provider maintains their own privacy and security standards. We do not sell your data to any third party.

9. Cookies

We use essential cookies required for authentication and session management. Vercel Analytics may use cookies for performance measurement. We do not use advertising or tracking cookies.

10. Security

We implement industry-standard security measures including encrypted data transmission (TLS), database-level encryption at rest, and role-based access controls. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
